Problem
No matter how large the corporation is, it is essential to optimize operating expenses, increase the efficiency of existing assets, and automate and digitize various processes. At the beginning of this project, the task was divided into 2 parallel directions: equipping the company’s current transport with new GPS trackers and developing software for monitoring transport, as well as developing a module and mobile lockers for buildings Nenny armored transport - systems of internal corporate car sharing. The main goal is to increase the efficiency of the existing vehicle fleet in the central office and regions without any expansion, as well as to strengthen the control over the existing vehicle fleet in accordance with the plan and fact.
Proposed solution
As a result of numerous negotiations, communications with employees and managers of the concerned departments, and research on the current business process at that time, our specialists, together with the client, developed the technical specifications and project flowcharts, elaborated Customer Journey Maps for each role, approved the reporting forms, and identified the necessary functionality. Since one of the important factors in the process was driver identification at the beginning and during the trips, we proposed an exclusive version of a GPS tracker with identification via Bluetooth and a mobile application. This helped simplify and expedite the installation of equipment on vehicles located in all regional centers, as well as reduce the client's initial investments and increase the system's stability. The main product proposed was the Fleetix system with appropriate modifications in the form of separate modules and mobile applications. From the implementation stages perspective, we approved a step-by-step integration: manufacturing the specialized tracker, implementing the monitoring system and personnel training, refining the car sharing functionality and mobile applications.
Result
As a result of close cooperation with the client, we manufactured the tracker according to the approved technical specifications and planned the installation of the equipment across all regional centers of Ukraine, which took approximately 3 months. According to the installation schedule, we conducted phased training for regional dispatchers and responsible personnel. The development of the car-sharing system coincided with the first wave of COVID-19 and the lockdown across Ukraine. Despite all the circumstances, we implemented all the necessary functionality one month ahead of the approved deadlines and integrated the project into the client's processes. For the third year now, the client has been continuously and almost around the clock working with the system, which helps them track vehicles and control trips. As a result of the corporate car-sharing system, the company achieved its main goal – to meet all the needs of its divisions with the existing transport, without expansion. At the same time, our team continues to provide technical support and system maintenance, as well as services throughout Ukraine as needed.
